Sr. Manager, Product Operations
Job Description
Per Scholas seeks a Sr. Manager of Product Operations to architect and sustain the operating systems that drive the Product Services portfolio. Based in the Bronx with remote flexibility, this role collaborates with Product Management, Training Delivery, Revenue, and Research & Evaluation to implement workflows and systems while not owning product strategy or people management. The position offers a salary range of USD 70,000 to 75,000 per year and requires a bachelor’s degree.
Responsibilities
- Own and coordinate the Product Services operating cadence, including bi-weekly sprint planning, weekly execution reviews, monthly portfolio checks, and quarterly planning support, with defined inputs, owners, outputs, and follow-through.
- Translate portfolio priorities into actionable roadmaps with milestones, critical paths, dependencies, and delivery checklists to enable on-time, high-quality releases.
- Maintain logs for risks, dependencies, and blockers; drive resolution by guiding decision-making and escalating issues with clear options, impacts, and recommendations.
- Provide visibility into capacity and resources (load, throughput, constraints) in collaboration with Product Management leadership to support transparent tradeoffs and protect delivery commitments.
- Identify operational gaps and implement process improvements that reduce friction, shorten cycle times, and boost delivery predictability across Product Services.
- Own end-to-end intake operations, including capture, triage, routing, prioritization support, stakeholder communications, and status transparency.
- Administer and continually improve Product Services systems of record: Asana and Smartsheet for projects; Airtable for the product catalog, with clear rules for tracking and reporting.
- Establish and maintain SOPs and templates for planning, execution, launches, reporting, and documentation, including version control and a decision-trail.
- Own the standardization and lifecycle management of Product Services course collateral for internal and external use, ensuring materials are current, version-controlled, and retrievable.
- Design and maintain lightweight automations that improve cross-department communication and status visibility, such as intake acknowledgments, milestone alerts, and dashboard refresh routines.
- Lead cross-functional launch readiness for new and refreshed products, ensuring readiness checklists, enablement needs, communications, and operational handoffs are complete before release.
- Implement change control practices to document scope changes, rationale, and downstream impacts; ensure release notes and stakeholder communications are timely and consistent.
- Verify launch artifacts meet defined standards (runbooks, enablement materials, system readiness confirmations) prior to releases.
- Operationalize KPI measurement with Product and Research & Evaluation by maintaining definitions, data sources, owners, refresh cadences, and data quality checks.
- Produce executive-ready reporting on a regular cadence, including monthly performance packets and dashboard updates, with clear status, context, and action plans (owner and due date).
- Monitor execution health signals (throughput, cycle time, backlog aging, milestone variance) and take corrective actions when trends decline.
- Manage the operational execution of pilots and learning experiments, covering timelines, instrumentation needs, data capture readiness, and readout coordination.
- Ensure evaluation work is operationally supported while Research & Evaluation retains ownership of methodology, analysis, and findings.
- Within the first 30 days, conduct a baseline assessment to establish current-state performance benchmarks and define ongoing improvement targets.
- Maintain intake responsiveness with consistent triage turnaround and stakeholder updates, plus clear queue health and aging visibility.
- Maintain portfolio hygiene by ensuring roadmap initiatives and work items include owner, status, dates, dependencies, and risks.
- Improve milestone predictability by documenting variance drivers and corrective actions.
- Ensure launch readiness compliance with completed checklists and consistent handoffs prior to release.
- Deliver monthly packets and dashboards on time with defined completeness and action registers.
- Maintain a decision log that promptly documents major scope and priority changes with rationale and downstream impacts.
- Promote consistent use of the system of record to reduce duplicate tracking and manual follow-ups, while improving data quality.
- Maintain collateral and catalog integrity with current, version-controlled materials and accurate product records (status, owner, and links to artifacts).
- Achieve measurable reductions in manual follow-ups and coordination overhead through maintained workflow automations.
- Applicants should bring 6+ years of experience in product operations, program management, portfolio operations, or delivery in cross-functional settings, with a track record of designing and running operating cadences, managing dependencies and risks, and producing executive-ready reporting.
- Demonstrated fluency with work management and reporting tools such as Asana, Smartsheet, Airtable, Google Workspace, and related dashboard workflows.
- Experience operationalizing performance measurement, including defining data, establishing refresh cadences, ensuring data quality, and setting up recurring reporting routines.
Requirements
- 6+ years of experience in product operations, program management, portfolio operations, or delivery operations within cross-functional environments.
- Proven success in designing and running operating cadences, managing dependencies and risks, and delivering executive-ready reports.
- Strong proficiency with work management and reporting tools including Asana (or equivalent), Smartsheet (or equivalent), Airtable (or equivalent), Google Workspace, and dashboard workflows.
- Experience operationalizing performance measurement with clear data definitions, refresh cadences, data quality checks, and recurring reporting routines.
- Bachelor’s degree required; advanced degree is a plus.
