Principal Product Operations Manager
Job Description
Own the systems, reporting, and operating cadence that help product teams plan, prioritize, and deliver with confidence. In this hybrid centralized/embedded Product Operations model, the Principal Product Operations Manager in the centralized hub ensures the shared tools, metrics, processes, and roadmap workflows that every embedded team relies on stay reliable, scalable, and aligned to company priorities.

Responsibilities
- Administer and configure the core product management and roadmapping platform (for example Aha!, Productboard, or equivalent), including workspaces, fields, workflows, scorecards, and permissions.
- Own the connection between the product management platform and engineering work tracking (for example Jira), including field mapping, status synchronization, and consistency of data between systems.
- Manage the broader product tech stack by evaluating new tools, preventing tool sprawl, and maintaining integrations across roadmap, delivery, feedback, and CRM systems.
- Build and maintain the intake and prioritization workflows product teams use to submit, score, and rank requests.
- Document system configuration and standard operating procedures so system knowledge is not concentrated in a single person.
- Create and maintain dashboards and reports that provide leadership and embedded product teams a trusted view of roadmap status, delivery progress, and portfolio health.
- Define and track core Product Operations metrics such as cycle time, roadmap adherence, planning hygiene, and tool adoption.
- Centralize and facilitate Product Performance metrics definition and telemetry builds, coordinate reporting and dashboard delivery with the central Business Intelligence team, and make deeper insights available for faster decision-making.
- Partner with Finance, Sales/RevOps, and Engineering to bring commercial and delivery data (for example CRM/ARR data) into product prioritization and reporting.
- Support recurring reporting cadences including business reviews, quarterly/annual planning, and board updates using clean, trusted data.
- Monitor data quality and drive hygiene standards across systems that feed reporting.
- Design and document repeatable processes for planning, prioritization, intake, and roadmap reviews so teams have a consistent way of working.
- Identify friction points and manual, duplicative work across the product development lifecycle, then improve them through better process, automation, or tooling.
- Build templates, playbooks, and checklists (for example for feature intake, roadmap reviews, and launch readiness) to reduce administrative burden.
- Act as a go-to resource for product managers and embedded product ops partners, providing training, office hours, and documentation for shared tools and processes.
- Facilitate cross-functional handoffs between Product, Engineering, Design, and GTM so work moves smoothly instead of stalling.
- Standardize processes across pods where possible while leaving room for team-specific flexibility.
- Partner with product leadership to translate high-level strategy and company priorities into a concrete, trackable roadmap and planning cadence.
- Run the planning rhythm across quarterly/annual planning cycles, roadmap reviews, and business reviews to keep execution connected to strategy as priorities shift.
- Monitor progress against strategic priorities and flag early when execution drifts from leadership intent.
- Support trade-off and prioritization conversations when competing asks conflict with strategic priorities.
- Ensure pod-level work ladders up to company-level strategic themes.
- Close the loop after major planning moments by ensuring decisions flow back into the systems everyone uses day to day.
Requirements
- 10+ years in Product Operations, Business/Sales Operations, or a Product Analyst/Management role, ideally supporting or working inside a product or engineering organization.
- Hands-on experience or familiarity with a product roadmapping/PPM tool (for example Aha!, Productboard, Jira Product Discovery) and a work-tracking tool (for example Jira, Linear, Azure DevOps).
- Comfort building dashboards and reports in tools such as the PPM platform itself, Tableau, Looker, or Google Sheets/Excel; SQL is a plus.
- Use of LLM-based tools (for example Claude, ChatGPT, Perplexity) to augment workflows, dashboards, and research.
- Experience designing and documenting repeatable processes for intake, prioritization, and planning cadences.
- Working knowledge of PDLC and SDLC processes, including roadmaps, backlogs, sprints, prioritization frameworks (for example RICE, WSJF), and launch and product profile types (for example 0-1 products and mature products).
- Comfort facilitating conversations where strategic priorities and day-to-day execution are in tension.
- Strong analytical skills to turn messy or scattered data into actionable insights.
- A generalist mindset comfortable moving between technical configuration, process design, and data/reporting work.
- A bias toward noticing inefficiency and fixing it, even when it extends beyond the “official” scope.
- Excellent documentation and communication skills to connect central leadership with embedded product teams.
- Ability to work autonomously on a small, fast-moving team where priorities shift.

This role owns four connected areas: (1) the tools and systems product teams plan and work in, (2) reporting and analytics for visibility into what is happening, (3) the process that makes planning and delivery repeatable, and (4) ongoing work that keeps strategy and execution aligned as priorities shift.
