In this role, you will lead the Admissions and Finance Systems that support the full resident lifecycle at International House at UC Berkeley, from annual application through billing, payments, reporting, and move-in coordination. You will own key platform configuration, integrations, automation workflows, and Power BI reporting used by operations and leadership.
Core Responsibilities
- Build, configure, and test the annual application in StarRez for each cycle, aligned to the deadline in the offer calendar, and submit it for sign-off to the Director of Admissions and Financial Aid.
- Manage day-to-day StarRez administration and troubleshooting, including terms, rates, room and rate assignment, booking statuses, and the business rules that govern them.
- Maintain the integrity of booking and contract records by resolving reporting issues through reporting corrections rather than deleting records.
- Support move-in and move-out cycles, including the access, card, and data steps required in the correct sequence.
- Own accounting automations for late fees and charges, run payment schedules, and generate the resident statement of account.
- Own payment integrations and routing, including Stripe and TouchNet, and configure provider-specific webhooks and signing keys.
- Ensure the resident-facing account summary in the portal reflects the ledger accurately, including awards and scholarships split across terms.
- Partner with Accounting on reconciliation, deferred revenue, and accounts receivable tie-outs, ensuring systems generate outputs required by auditors.
- Own the data flow between StarRez and operational platforms: Atrium (meal plans and account balances), Verkada (access and resident photos), Adobe Sign (contracts), and WhenToWork (student worker scheduling and access).
- Build and maintain Power Automate flows that support admissions, finance, and housing operations, with documentation and monitoring for each flow.
- Diagnose and resolve integration failures; when failures repeat, update the process rather than repeating the same fix.
- Own the Power BI data models and reporting infrastructure supporting admissions, occupancy, revenue, and resident satisfaction.
- Own the satisfaction data pipeline, including the Qualtrics extract and the load that feeds weekly reporting.
- Ensure each report has a defined owner, a monitored refresh, and a shared definition agreed upon by stakeholders.
- Document systems, processes, and business rules to a standard that enables a colleague to run the cycle without you.
- Export code, workflow configurations, integration logic, database schemas, and related artifacts to the shared repository.
- Maintain a clear record of which system owns each decision and where responsibilities sit if you are unavailable.
- Other duties as assigned.
Required Qualifications
- Three or more years of experience owning a business system or product end to end, or an equivalent combination of education and experience.
- Demonstrated experience configuring and administering a complex operational platform, ideally a student housing, CRM, ERP, or billing system.
- Strong applied data skills, including the ability to query a database, reason about a schema, and build reporting others can trust.
- Experience building automation using tools such as Power Automate, APIs, or a comparable toolset.
- Understanding of billing concepts, including charges, payment schedules, statements, refunds, and reconciliation.
- Ability to meet a fixed calendar deadline on a build other teams depend on.
- Clear written communication and strong documentation habits.

Preferred Qualifications
- Direct StarRez experience, particularly the annual application build
- Experience with Stripe, TouchNet, or comparable payment platforms, including webhook and reconciliation models
- Experience with Power BI data modeling
- Experience in higher education, student housing, or a non-profit finance environment
- Familiarity with Atrium, Verkada, Adobe Sign, Blackbaud, or Qualtrics
How Success Will Be Measured
- The application cycle is built, tested, and signed off ahead of the offer calendar each cycle
- Charges, late fees, and statements are correct without manual checking, with residents seeing the same numbers the team sees
- Reporting stays current, owned, and trusted, with stopped data loads caught by monitoring instead of stakeholder escalations
- The systems can be operated by someone else while you are on leave
Compensation and Location
- Pay range: $85,000 - $90,000 annualized
- Pay is commensurate with experience and qualifications
- Location: Berkeley, CA (onsite). No remote work options are available.
